Procedure for Submitting a Course Proposal

If you are unsure of what the FEC can approve, and what needs to go to the Undergraduate Council, please consult Part IV Page 8 of the Undergraduate Course and Program Approval Guide

For all courses except Variable Topic (298 courses), Honors Seminars (89 and 189 courses), and Fiat Lux Seminars (19 courses), see the following instructions. For the courses listed, see instructions below.

Deadlines for all approved courses to be into the Registrar’s Office to be included in the Schedule of Classes: (please note the FEC submission deadlines as well)

  1. Course proposal is first initiated by staff or faculty in a department.
    NOTE: If the HSSEAS course is multiple-listed (M) with any other department or school, the form should go to the other department as well (for example, Com Sci CM124 is multilisted with Human Genetics CM124 so the form would go to the Human Genetics department after you prepare it).
  2. Log onto CIMS and follow the Instructions on the Undergraduate Course and Program Approval Guide
    Please note course syllabus MUST be uploaded and attached to CIMS form before routing.
  3. Route CIMS form to the initiating department Faculty/Staff contacts responsible for approvals at the department level.
  4. Route to the Office of Academic and Student Affairs (OASA),
    ATTN: Myrna Reneau, myrna@seas.ucla.edu
    who then, if an undergraduate course, will
    4a. Route to the undergraduate OASA academic counselor for the department’s major to check for any possible issues.
    – If there are issues, the OASA counselor will contact the department directly to discuss and rectify as needed.
    – If there are no issues, the OASA Counselor will then route back to Myrna Reneau, myrna@seas.ucla.edu or Jan LaBuda to review with Faculty Executive Committee Chair.
  5. OASA will review with the FEC Chair to determine if FEC Committee review will be needed. It is advised that you meet the FEC deadline in the case that committee review is needed.
  6. Once the School approves the changes, the following is the routing process:
    OASA (Myrna Reneau, myrna@seas.ucla.edu,) will route as follows:
    6a. If an HSSEAS course is multiple-listed with the College, the form goes to Michael Soh first whether it is grad or undergrad.
    6b.  If the HSSEAS undergrad course is concurrent (C) with a grad course, it goes directly to April de Stefano in Grad Division via CIMS.
    6c.  Graduate HSSEAS courses that are not either concurrent or multilisted go directly to April de Stefano in Graduate Division via CIMS.
    6d.  Undergraduate HSSEAS courses that are not either concurrent or multilisted can go directly to the Registrar’s Schedule Office (Doug Thomson) via CIMS.

Further routing instructions apply as follows:

  • For Variable Topics (VT) (298 Courses), forms go directly from the submitting department (e.g. Electrical Engineering) to the Registrar’s Office, Scheduling section. They do not need to go through OASA.
  • For Honors Seminars (89 and 189 courses), forms go directly from the submitting department (e.g. Electrical Engineering) to the Registrar’s Office, Scheduling section. They do not need to go through OASA.
  • For Fiat Lux Seminars (19 courses) forms go directly from the submitting department (e.g. Electrical Engineering) to Besrat Hagos in L&S. (Besrat coordinates the UCLA Fiat Lux program.) They do not need to go through OASA.
